‘Project Tech4dev’ program of Impact Foundation (India),a vertical under Dasra that aims to be a high performing tech enabler for non-profits, to provide solutions ranging from providing open source platforms to NGOs to building tech capacity in non-profits and equip non-profits with the technology they need to amplify their impact. We are a remote working organization.
Role Overview:
We are looking for a proactive and detail-oriented Administrative Associate to manage our day-to-day admin operations and lead the planning and execution of our quarterly sprints and ecosystem events. You will be the go-to person for travel, logistics, vendor coordination, event management and internal HR, ensuring smooth operations and memorable team experiences
Responsibilities:
Vendor Management
- Manage vendors for travel, hotel bookings, merchandise, devices, stationery, and event materials
- Negotiate contracts to ensure cost-effective, quality service
- Maintain records of laptops/devices assigned, and manage office supplies
- Assist in evaluating and selecting admin/HR partners
- Manage procurement, delivery, and inventory tracking of IT assets (laptops, accessories, etc.) and provide basic IT coordination/support as needed
Travel, Logistics and Accommodations
- Coordinate travel, stay, and local transport for team events and business trips
- Liaise with hotels to negotiate rates and ensure seamless accommodation
- Monitor expenses and ensure alignment with policies and budgets
Internal and External Coordination
- Serve as the admin point of contact for internal teams, vendors, and partners
- Support onboarding coordination, induction scheduling, and HR admin tasks
Communication & Support
- Draft and manage internal emailers (festivals, birthdays, anniversaries)
- Provide logistical and technical support for meetings, conferences, and field visits
- Maintain a high level of confidentiality and integrity in all tasks
Sprint & Event Planning
- Own end-to-end logistics for quarterly sprints (7–10 days, including travel)
- Scout locations, finalize venues, manage bookings, and coordinate logistics
- Be the single point of contact for hotels/vendors during events
- Support retrospectives to improve future sprint execution
Requirements
- Bachelor’s degree in Business Admin or related field
- 5–7 years of experience in admin roles, preferably in dynamic/corporate environments
- Proficient in Microsoft Office and Google Suite
- Discreet, reliable, and self-driven
- Excellent organizational, negotiation, and communication skills
- Flexible to travel for 7–10 days every quarter( 7 days at a stretch at the sprint)
